HVAC Office Assistant

We are looking for a competent Office Assistant to help with the daily administrative and dispatching operations for the service department. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable with answering phone calls, speaking with and reaching out to customers, performing data entry, and be willing to help out with other miscellaneous tasks when needed.

While previous HVAC or construction office experience is preferred, we welcome the opportunity to train a new candidate, who can hopefully learn about the HVAC business, and perhaps turn this job into a career.

  • General administrative tasks include but are not limited to answering phones, filing, data entry, and maintaining and updating documents (i.e. contact list, birthday list, holiday schedule, etc.)
  • Support the service staff; dispatching technicians, schedule/coordinate service calls and repairs, scheduled maintenance calls, entry technicians’ hours
  • Billing, sending invoices and collecting payments over the phone
  • Create and update records ensuring accuracy and validity of information (i.e. entering customer data and equipment information, setting up jobs)
  • Obtain material and equipment pricing from vendors
  • Monitor level of office supplies and handling shortages
  • Ability to respond and review incoming and outgoing messages from Yelp, Thumbtack, Angie’s List Leads, and other companies such as contractors. In addition, client follow-up calls and text messages are expected.
  • Maintain trusting relationships with customers and colleagues.
  • Perform other administrative duties and help out in other departments when needed
  • Daily Light cleaning: Maintaining front office space clean, vacuumed, and dust free. Disinfect your office space/desk, and personal items, including and not limited to cleaning the restroom and employee lunch/ kitchen area.
  • Trash: Shredded documents and trash must be emptied daily to prevent ants, roaches, and other pests.
  • Proper disarming and activating a business alarm at the beginning of each work shift, when leaving for lunch breaks, and at the end of each workday (if applicable).
  • Phones line opening at each work shift.
  • Phones lines must be transferred at the end of each workday to a supervisor or on-call staff member.
  • Ability to answer phones, route callers to appropriate departments, and manage multiple phone calls at a time.
  • Proven experience as an office assistant or in another relevant administrative role
  • Intermediate knowledge of computers, and computer programs (Word and Excel)
  • Thorough understanding of office procedures
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving and prioritization
  • Excellent written and verbal communication skills
  • Have the ability and are willing to learn, adapt, and progress forward with new office procedures and systems.
  • Monday through Friday- Current Schedule Offered: 9:00 am – 6:00 pm

  • Approximately 20-40 + hours a week

  • Minimum of 4-8 hours a day (5) days a week; weekends may be required, but not all.

  • Must have open availability May 1st – October 1st (busy season)

Job Type: Part-time/ Full -time

Pay: $15.00 – $18.00 per hour (with experience)

Experienced
HVAC Technician

We are looking for an experienced HVAC technician to install, maintain and repair all types of HVAC systems. You should have knowledge and skills in installing, repairing, and maintaining commercial, industrial, and residential heating systems. You will need to troubleshoot problems with heating systems and help maintain an efficient system. To be successful in this position, you will need to have careful attention to detail, an ability to work with minimal supervision, and mechanical aptitude. This job will require working outside in some conditions so good physical health is a requirement. You should also be familiar with the use of tools and mechanical equipment, like compressors and pumps.

** Must have a valid, up to date California Drivers License

  • Prepare estimates (time and material or fixed amount) of the cost to repair or install heating, ventilation, and air conditioning equipment in residential, commercial, and industrial buildings.
  • Inspect HVAC systems.
  • Read blueprints and follow design specifications for installing an HVAC system, in both new and existing buildings.
  • Properly connect the HVAC systems to supply lines and install the necessary electrical wiring. They must also know how to connect the system to air ducts and take all other necessary steps in the installation process.
  • Understand how the entire heating and air-conditioning systems function. Jobseekers must possess a complete understanding of how HVAC systems work in order to be able to install and maintain them.
  • Know how to follow government regulations concerning the recycling of refrigerants, including the proper handling and disposal of all relevant fluids and gases.
  • Evaluate job-related safety hazards and employ accident prevention techniques.
  • Use testing equipment in order to detect malfunctioning parts, and identify necessary repairs.
  • Use all types of tools. For example, HVAC technicians use ordinary hammers and screwdrivers in installing and maintaining HVAC systems. They also use specific tools of the trade, such as acetylene torches, carbon monoxide testers, and a number of other sophisticated tools.
  • Use computer skills in order to employ software programs that allow them to locate job assignments. They also need to know how computers can be used to control and maintain HVAC systems.
  • Troubleshoot. Although installing systems is a major part of the job description of an HVAC technician, identifying problems in non-working systems is another part. An HVAC technician who can quickly and accurately detect and repair the problem is very sought after.
  • Communicate effectively. Much of the job involves interacting with customers who report problems with their systems. Customers are usually not familiar with the language of the industry and explain their problems with their systems in possibly unusual terms. Technicians must listen carefully and patiently and know what questions to ask to help identify the problem. Also, selling service contracts is often part of the job description, so technicians need to know how to positively relate to customers in a way that makes the customer receptive to the purchase.
